Employee Contest Prize Fulfillment
The Ask
Client is running a credit card contest. Would like to reward each winner with a prize of their choosing, depending on level. To cut down on theft, client would like each winner to receive their own prize without anybody knowing what the prize is. They would need a packing slip telling Store Manager the contents of the boxes they are receiving, and also who is receiving the prize. Would also like something to hang up in break room telling the employees who won a prize and what level they were at. Also, they wanted each recipient to receive a certificate. Would like something on the outside of box to direct box to Store Managers only.
Tracking for the shipments needed to be sent daily.
Based on delivery of the items, Allied would have approximately 4 weeks to complete the project.
Could not ship anything out until all 12 items had arrived from the various vendors.

Allied Solution
Client ended up with 38,000 winners.
Allied individually wrapped each of the 38,000 items (12 different items and sizes to choose from) into a black bag with a Ziploc closure. You could not see into the bag. Bag sizes ranged from gloves and small speaker to a large 24 can cooler.
Each bag was then individually labeled with the winner’s name and store number. Any winner that had 2 items had * added to their name to double check that they received two items. A sequence number was put on each label that tracked it back to the store number.
All of the items were boxed per store.
A packing slip was enclosed that had each person’s name and store number. A sequence number was added to make sure it matched the sequence number on the labels that were on the bags in that particular box.
Winner sheet was created using the names from the packing list, and the Tier level provided on the original spreadsheet.
Certificates were counted out, depending on how many winners were attributed to the store.
The packing slip, winner list and all of the certificates were then placed in a clear plastic bag.
That bag was labeled with the store #, and a label that noted that the bag contained the packing slip, the winner sheet and the certificates.
A bright colored label was added to the outside of the box that steered the shipment to the store manager.
Spreadsheet was sent to BDA that had tracking added to the spreadsheet from the previous days’ shipment. If there was more than one box, there was more than one tracking number. All shipments could be tracked daily if needed.
Results
Allied accomplished the project in 3 weeks.
Allied was able to preprint the certificates and outer labels. As soon as the items were ordered from vendors, BDA was able to share the individual item quantities with Allied so that Allied could order all of the black plastic bags in advance. As items arrived, some of the items were pre-packed to save time.
Allied Data Department was able to extract the information for the bag labels, packing slips and winner sheets from the original spreadsheet provided by BDA.
Allied sent all tracking daily.
No shipments were missed.
Job was delivered on time, without any additional budget being added to the project, and client received items correctly and on time.
